1. Who we are
Motionglow (“we”, “our”, “the studio”) is an independent editorial studio based at 2211 W Pinhook Rd, Austin, Texas. Our main center office is located at 314 E Highland Mall Blvd #508, Austin, TX 78752. We publish short relaxation routines and printable guides and operate the website at motionglow.world.
This policy explains how we handle personal data collected through the website, the contact form and any guide order you place with us. It applies to visitors anywhere in the world, with additional notes for residents of the European Economic Area, the United Kingdom and California.
2. What we collect
We deliberately collect as little personal data as possible. The categories we may collect are:
- Contact form details: the name and email address you type into the form, the content of your message, and the timestamp of the submission.
- Order details: if you order a guide, we collect your name, billing email, and the items purchased. Card details are handled directly by our payment processor and never reach our servers.
- Technical data: standard server logs containing IP address, user agent, referrer, and pages visited, retained for security and troubleshooting.
- Cookie data: a small number of essential cookies described in our cookies policy.
3. How we use your information
We use the information we collect for clearly defined purposes:
- To answer your message and follow up if needed.
- To deliver and account for any guide you have purchased.
- To keep our website secure, prevent abuse and diagnose technical issues.
- To comply with applicable tax, accounting and consumer-protection laws.
We do not use your contact details to send unsolicited marketing emails. We do not sell or rent your personal data to any third party for any purpose.
4. Legal bases for processing
Where the General Data Protection Regulation (GDPR) or the UK GDPR applies, we rely on the following legal bases:
- Consent for the optional checkbox on the contact form and for non-essential cookies (we currently set none).
- Contract for processing necessary to deliver a guide you have ordered.
- Legal obligation for accounting, tax and consumer-protection records.
- Legitimate interests for limited security logging and fraud prevention, balanced against your rights.
5. How long we keep data
Contact-form messages are retained for up to 24 months and then deleted, unless an active conversation justifies a longer period. Order records are retained for the period required by applicable tax law, usually seven years from the date of sale. Server logs are kept for 30 days and then rotated out.
6. Who we share data with
We share personal data only with the limited set of service providers we need to run the studio:
- Our website host and content-delivery provider.
- Our email provider for transactional replies.
- Our payment processor for guide purchases.
- Our accountant and any regulator entitled to receive the information by law.
Each provider is bound by a written agreement that requires them to handle personal data only on our instructions and to keep it secure.
7. International transfers
Some of our providers are based in the United States or other jurisdictions outside the European Economic Area. Where required, we rely on Standard Contractual Clauses approved by the European Commission, supplemented by additional safeguards reviewed annually.
8. Your rights
You have the right to ask us to:
- Confirm whether we hold personal data about you, and provide a copy.
- Correct any inaccurate or incomplete information.
- Delete data that is no longer necessary for the purpose for which it was collected.
- Restrict or object to processing in specific circumstances.
- Receive your data in a portable, structured format.
- Withdraw consent at any time where consent is the legal basis.
To exercise any of these rights, write to the email handle on our contact page. We respond within 30 days. You also have the right to lodge a complaint with the data protection authority in your country of residence.
9. How we keep data safe
We use HTTPS across the entire site, encryption at rest for backups, role-based access for staff, two-factor authentication on every administrative account, and regular reviews of who has access to what. No internet service is perfectly secure, but we apply industry-standard safeguards and review them at least once a year.
10. Children
Our website and guides are written for adults. We do not knowingly collect personal data from children under 16. If you believe a child has submitted personal data to us, please contact us and we will delete it promptly.
11. Changes to this policy
We may update this policy from time to time. When we do, we update the “last updated” date at the top of the page and, for material changes, we add a short notice on the home page for at least 30 days.
